Administration Executive Assistant
National Capital Reg – Manila Taguig


Responsibilities:


  • POSITION SUMMARY


  • The Office Manager will be responsible for providing support to the Teradata ADC Center Manager, as well as members of the Teradata Philippines ADC team .


  • KEY AREAS OF RESPONSIBILITY


  • Support for the Philippines ADC Center

  • • Diary and correspondence management.

  • • Manage incoming calls and emails; determining priorities and taking appropriate action.

  • • Act as a central point for internal and external customers, ensuring that customer expectations are managed and exceeded.

  • • Travel management – organize travel, accommodation, visa paperwork and approvals.

  • • Personal expenses management.

  • • General administrative duties.

  • • Point of contact for Embassy appointments for Visa applications


  • Support for Philippine ADC Center

  • • Travel management – organize travel, accommodation, visa paperwork and approvals.

  • • Set up meetings, including booking resources, provision of catering and refreshments.

  • • Administer PSA database.

  • • Process invoices through ERP.

  • • Collate and distribute leave schedule on a weekly basis.

  • • General admin duties.

  • • Visa applications support


  • General support for the Philippines ADC office

  • • To handle all in-coming calls to Teradata Philippines GCC by providing the callers with the first level customer services support.

  • • To receive and handle all incoming shipment items as well as ensuring all goods receivables are kept in secure place before releasing as well as updating of recipients through emails and phone calls informing them pertaining to the delivered items.

  • • Order stationary and business cards.

  • • Order laptops and other equipment for new hires.

  • • Liaise with Accounts Payable for payment etc.

  • • Record all staff claims regarding Holiday pay and will forward to Payroll on the 10th of every month.


  • EDUCATION & EXPERIENCE REQUIREMENTS


  • • Minimum 4 to 7 years experience in a PA role supporting a senior staff member.

  • • Familiarity with fast-paced, demanding environments.

  • • Intermediate to advanced MS Office skills, including proficiency with Word, Excel, PowerPoint and Outlook.

  • • Experience with online financial systems, for example Oracle, SAP, etc.

  • INTERRELATIONSHIPS


  • The successful candidate will work closely with the Philippines ADC Managment on an ongoing basis. The role also involves frequent interaction with other Senior Managers and internal customers based across APAC, as well as external customers.

  • Requirements:


    • Candidate must possess at least a Bachelor’s/College Degree in Secretarial or equivalent.

    • Required skill(s): Excel, Word, Microsoft.

    • Preferred skill(s): SAP.

    • Required language(s): English, Filipino

    • At least 7 year(s) of working experience in the related field is required for this position.

    • Preferably Supervisor / 5 Yrs & Up Experienced Employees specializing in Clerical/Administrative Support or equivalent. Job role in Administrative Executive or equivalent.
